Compliance Reporting and Consumer Duty Management

  • Consumer Duty Management Information (MI) Reporting

    Consumer Duty MI reporting is a service delivered by Automotive Systems’ in-house Compliance and Risk team, who produce Consumer Duty MI reports for each client.
    This includes:

    • Data, metrics and insight aligned to FCA Consumer Duty requirements
    • Clear MI to support internal governance and regulatory engagement
  • Vulnerable Customer Reporting

    Dedicated vulnerable customer reporting enables dealerships to record and monitor how vulnerable customers are identified, supported and managed throughout the sales process, while enhancing Management Information (MI) required to demonstrate adherence to the Consumer Duty. Interactions, support provided and customer outcomes are captured in a clear and auditable format.

    This includes:

    • Identification and tracking of vulnerability indicators
    • Recording of customer interactions and support measures provided   
    • Clear evidence of outcomes and fair treatment

Audit and Oversight Reporting

Audit Feedback Reporting

Automotive Systems provides structured audit feedback reporting to support dealership compliance and management oversight. Audits review customer sales records to identify gaps or discrepancies, such as missing documentation, e‑signatures or inconsistencies in recorded costs.

Audit coverage is agreed between Automotive Systems and each dealership group and is tailored to the business’s. This may include 50% or 100% audits, depending on the needs of the dealer group. A 100% audit means that every customer sales record within the agreed reporting period is reviewed, providing the highest level of assurance. A 50% audit means that a proportion of customer sales records are reviewed, with the sample typically focused on higher-risk activity, such as finance-related sales.

Audit reports provide:

  • A clear overview of missing or incorrect information
  • Structured findings suitable for management review
  • Insight to support corrective action and targeted training

Audit outcomes are visible to Business Managers and head office teams, enabling ongoing tracking of compliance and identification of training needs for sales executives.

Audit activity is delivered by experienced internal compliance specialists with detailed knowledge of FCA requirements and automotive retail processes. Audit quality is maintained through internal specialist review to ensure findings and recommendations remain consistent and appropriate.

Training and Competency Reporting

  • CPD Reporting Against the Recommended 15‑Hour Benchmark

    Within the reporting feature, CPD activity can be tracked against the recommended 15‑hour annual benchmark.

    Reporting provides:

    • Visibility of completed and outstanding CPD hours, with clear oversight for Business Managers to see whether individuals within their team are completing training and on track to meet the recommended 15-hour annual benchmark
    • Evidence to support internal audits
    • Centralised records linked to individual roles

     

    Competency reporting highlights individuals whose training or accreditation is approaching expiry or has lapsed.
